How to create an invoice

A clear invoice gets paid faster. Here is everything it should include, in order.

Updated October 30, 2026.

  1. Add your business details

Your business name, address, phone or email, and logo. Add your EIN or tax ID if your customers need it.

  2. Add the customer’s details

The legal name of the business or person you are billing, their address and a contact name.

  3. Give it a unique invoice number and date

Number invoices in sequence (for example 2027-001). Include the invoice date and the due date.

  4. List each product or service

A short description, quantity or hours, unit price and line total for each item.

  5. Show tax, discounts and the total due

Subtotal, any sales tax if it applies, discounts, and the final amount due in bold.

  6. State payment terms and methods

When payment is due (for example Net 30), how to pay, and any late fee policy you have agreed with the customer.

  7. Send it and track it

Send a PDF or a payment link, record the invoice as unpaid, and follow up before and after the due date.

Tips to get paid faster

  • Invoice as soon as the work is delivered.
  • Offer card or bank payment links, not just checks.
  • Use clear terms such as “Due on receipt” or “Net 15”.
  • Send a friendly reminder a few days before the due date.
